About the role
Administrative Assistant – The OPEC Fund for International Development
Support the efficient coordination and organization of activities within the Regional Director's office, providing essential administrative and secretarial support to enhance effectiveness and facilitate stakeholder interaction.
Responsibilities
- Receive, log, review, and distribute incoming correspondence; highlight urgent/important items
- Draft correspondence in one or more languages and check outgoing communications for accuracy
- Classify and prioritize correspondence; follow up on deadlines and ensure timely responses
- Prepare routine letters, memoranda, reports, and presentation materials
- Receive visitors and telephone calls with tact; arrange meetings and record discussions
- Arrange duty travel, prepare travel authorizations, and complete required documentation (visas, vaccination certificates)
- Facilitate communication with internal and external stakeholders on behalf of the Regional Director
- Maintain accurate physical and electronic document and records management systems
- Prepare briefing materials, background documentation, and meeting files for the supervisor
- Support preparation and compilation of files for high-level meetings (Ministerial Council, Governing Board)
- Generate standard reports and extracts from internal systems
- Assist other Administrative/Executive Assistants as required
Requirements
Education & Experience:
- Bachelor's Degree in Business Administration, Finance, or closely related field
- Minimum 5 years professional experience in administrative, secretarial, or office support roles
- Preferably at least 3 years in an international organization, multilateral development bank (MDB), or comparable international environment
Skills:
- Proficiency in standard office and digital tools for document preparation and reporting
- Strong organizational and records management skills
- High attention to detail in reviewing documents for formatting, accuracy, and completeness
- Ability to manage multiple tasks and deadlines
- Fluent in English
- Good working knowledge of Arabic, French, Portuguese, Russian, or Spanish (advantageous)
Grade: C
Contract Duration: Two-year fixed term appointment, with possibility of renewal
