Executive Assistant to the Medical Director
The Executive Assistant to the Medical Director is responsible for providing high-level administrative support, managing the Medical Director's schedule, and handling confidential communications. This role involves coordinating clinical meetings, maintaining the electronic diary system, supporting the Medical Director in planning events, and acting as a liaison between clinical departments and external bodies.
Responsibilities
- Organize medical meetings and track compliance data.
- Provide efficient and confidential support to the Medical Director.
- Maintain the electronic diary system and manage schedules.
- Monitor action progress and deadlines.
- Support meetings attended or chaired by the Medical Director.
- Implement an effective 'bring forward' system for meeting papers.
- Ensure correspondence is dealt with promptly and discreetly.
- Draft responses on behalf of the Medical Director.
- Support the Medical Director in project work and event planning.
Requirements
- B.Sc/HND in Business/Secretarial/Administrative qualification or equivalent.
- Advanced keyboard skills.
- Excellent IT skills and experience with Microsoft Office software.
- Previous experience in an NHS or Healthcare setting.
- Proven secretarial/administrative experience working for a senior manager/director.
- Ability to manage multiple tasks, solve problems, and meet deadlines.
- Excellent written and verbal communication and interpersonal skills.
- Proven experience taking clear and understandable meeting minutes.
- Courteous, respectful, and helpful at all times.
- Ongoing commitment to personal development.
- Organized, systematic, and flexible.
- Tactful, diplomatic, and discreet with confidential matters.
- Flexible and adaptable in a busy office environment.
