About the role
Administrative Coordinator
IPAS is seeking an Administrative Coordinator to ensure efficient, compliant, and effective day-to-day administration of office operations. This role provides comprehensive administrative and operational support to enable programmatic and leadership teams to focus on organizational objectives.
Responsibilities
- Manage front desk operations, visitor access, appointments, and professional handling of calls and inquiries
- Provide timely administrative support including schedule and calendar management for teams and office activities
- Develop, update, and implement facility maintenance schedules; ensure cleaning rosters and office hygiene standards are maintained
- Monitor generator usage, fuel consumption, and departmental resource requests
- Maintain accurate inventory records for office supplies; monitor stock levels and ensure timely replenishment
- Maintain administrative and operational records; compile and submit periodic reports on vehicle utilization, inventory status, and resource usage
- Ensure adherence to administrative policies, maintain confidentiality, and identify/report operational or facility-related risks
Requirements
- Bachelor's Degree in Business Administration, Management, Operations, or a related field
- Minimum 3 years' relevant experience in administrative support, office operations, or coordination roles
- Demonstrated experience in front desk, office administration, general operational support, recordkeeping, and documentation
- Familiarity with office management practices including facility coordination, scheduling, and internal support services
- Strong organizational and multitasking skills with ability to manage competing priorities
- High attention to detail and accuracy in administrative tasks
- Good communication and interpersonal skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general office systems
