About the role

Operations and Administrative Officer

GAIN is seeking an Operations and Administrative Officer to support the Nigeria country programme and ensure smooth running of the Abuja office. This is a one-year fixed-term contract role focused on coordinating administrative processes, managing payments, organizing travel and logistics, and maintaining effective operational systems.

Responsibilities

  • Serve as focal point for project-related administrative queries and payments from implementing partners, service providers, and government officials
  • Facilitate approvals for programme payments related to flights, accommodation, and events
  • Organize domestic and international travel and logistics, including flights, visas, accommodation, and meeting schedules
  • Support the Project Officer PRiFN to ensure operational support under the WFP project
  • Collaborate with Procurement Team to ensure timely initiation and completion of project procurements
  • Conduct hotel and venue assessments with Security Manager to ensure compliance with GAIN standards
  • Maintain organized electronic and paper filing systems for operational, payment, and procurement documents
  • Identify administrative and operational gaps and deliver regular training
  • Coordinate office IT systems with GAIN IT Team and maintain efficient information management
  • Serve as first contact point for local service providers
  • Coordinate weekly country office meetings and manage minutes
  • Safeguard and manage GAIN office inventory and assets
  • Ensure compliance with quality standards for office management, travel, and administration
  • Support State Finance and Admin Assistants for smooth operations across state offices

Requirements

  • Proven experience in programme operations and office administration
  • Strong organizational and stakeholder management skills
  • Experience managing service providers, processing payments, and raising purchase orders
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Ability to prioritize multiple tasks and deliver high-quality work within deadlines
  • Proactive, detail-oriented, adaptable, and professional demeanor
  • Ability to work collaboratively across teams under pressure
  • Experience in NGO or donor-funded organizations is advantageous

Salary

NGN 9,856,248 – 11,255,100 gross per annum (approximately NGN 821,354 – 937,925 per month)
