About the role

Associate, Administrative and Procurement at Teaching at the Right Level (TaRL)

Support the Finance and Administration Manager in coordinating administration and procurement functions for TaRL Africa Nigeria, ensuring adherence to timeliness, cost-effectiveness, and efficient management of goods and services across multiple states.

Responsibilities

Procurement:

  • Support development of procurement policies and compliance enforcement
  • Coordinate procurement processes including RFQs, RFPs, bid analyses, contract drafting, and supplier deliverable reviews
  • Perform due diligence and vetting of suppliers and service providers
  • Identify, assess, and sign contracts with vendors (hotels, car providers) across states
  • Review supplier/vendor contracts and SLAs for approval
  • Maintain vendor database and assets register
  • Ensure timely delivery of goods and services per agreed terms
  • Process LPOs in the system and ensure delivery to vendors
  • Receive, review, and process vendor invoices through the ERP
  • Provide procurement advice and capacity building to staff
  • Participate in preparation of annual procurement plans

Administration:

  • Manage asset tagging, registration, and verification across state offices
  • Oversee movement of items and assets in stores
  • Manage office leases and operational legal contracts
  • Ensure timely provision of office requirements and supplies
  • Coordinate insurance of office equipment and renewals
  • Identify and attend to office/equipment repairs and maintenance
  • Lead asset verification exercises and ensure insurance coverage
  • Maintain recording of official letters received
  • Number and distribute outgoing official letters
  • Coordinate office cleanliness and supply management
  • Manage vendor and consultant relations

Travel and Logistics Support:

  • Establish prequalified car hire and taxi service providers per state
  • Coordinate vehicle bookings across all operating states
  • Review car logs and communicate staff vehicle usage
  • Verify invoices from car hire vendors for rate compliance
  • Maintain up-to-date car hire vendor database
  • Coordinate and monitor flight bookings for staff
  • Support travel and transportation arrangements (local and international)
  • Liaise with travel agents, transporters, foreign missions for visas and accommodation
  • Support event planning including venue sourcing and booking

Requirements

Qualifications:

  • Bachelor's Degree in Business Administration, Project Management, Logistics, Supply Chain Management, or Procurement from a recognized institution
  • At least 5 years' hands-on experience in logistics, travel coordination, transport management, or administrative operations
  • Proven experience managing car hire vendors, reviewing vehicle logs, and validating invoices
  • Experience coordinating staff travel, flight bookings, and visa processes
  • Training in leadership or management courses is desired

Desirable:

  • Certification in Supply Chain or Logistics Management (CILT, CISCM, or similar)
  • Training in procurement or vendor management
