About the role
HR / Admin Officer
To provide day-to-day administrative support in the implementation of human resources policies, procedures and ensure smooth office operation in Blue Coral Health Care Services.
Responsibilities
- Designs and produces regular statistical reports on HR information for the staffing committee and managers.
- Regularly update staff establishments and ensure information is correctly and regularly updated.
- Update and manage employee records.
- Preparation of payroll and remittance of all statutory deductions as at due date.
- Preparation of payslips (monthly) for all staff.
- Handle recruitment process such as posting advertisements, organizing interviews, and employment contracts.
- Develop and maintain administrative systems and procedures to provide administrative support for HR projects.
- Support the HR department and other managers in researching and developing existing and new policy and procedures.
- Ensure up-to-date job descriptions/specifications are maintained.
- Provide advice on P&G procedures within clearly defined protocols.
- Ensure that regrading’s are processed once approved.
- Prepare confirmation letters and monitor contract expiry for renewals.
- Work with Occupational Health Provider to facilitate screening programs for staff.
- Development and maintenance of appropriate systems and procedure as required.
- Advice to users on HR systems including resolving or supporting the resolution of problems related to the operation of the HR system.
- Support the development and rollout of HR system.
- Make recommendations on staff training in the operation of the HR system modules on a regular basis.
- Monitor implementation of HR policies and procedures followed by managers and staff.
- Manage the work pass application and status including monitoring of the expiry dates.
- Oversee all administrative tasks in the office in compliance with BCHS established policies and procedures.
- Acquire and maintain office furnishing, equipment and supplies and provides administrative support for the maintenance of the telephone, communication and computing.
- Establish and maintain appropriate filing and information flow systems including filing of MOUs and Vendor contracts.
- Coordinates with suppliers and vendors.
- Engages with HR service providers and suppliers on HR systems, payroll, insurance, training and development.
- Perform other duties as assigned.
Requirements
- Degree or Diploma in Human Resources or Its equivalent.
- 3-4 years working experience in a similar capacity.
- Experience in Health care procurement and administration is preferred.
- Thorough understanding of Nigerian Labour and employment laws.
- Clerical and administrative skills.
- Ability to provide basic advice on employment terms, conditions, policies and procedures.
- Good organization and interpersonal skills with ability to function in a multi-cultural environment.
- Flexible, resourceful and able to perform despite tight schedules.
- A high-level individual who’s independent, proactive with good attitude.
- Good computer skills in spreadsheets, word processing documents and applications (Word, Excel, Outlook and HR system).
- Ability to deal sensitively and appropriately with confidential information.
- Ability to undertake routine calculations.
